Why automation usually fails

Automation projects die in the middle third.

Most teams buy a tool, pick a workflow, and start building. Three weeks in, the integration breaks, the data formats do not line up, and the project gets parked. Six months later someone starts over with a different tool. Nothing compounds.

We approach automation as diagnostics. First we map every recurring task your team does more than twice a week. Then we rank by time-saved-per-week and build complexity. Then we build the top three to five, test them against real data, and document every step so your team can run them without us.

Automation is not about replacing people. A three-person team that removes 15 hours of manual work per week is effectively operating as a four or five-person team. We build for leverage, not headcount replacement. See how this applies to growth systems for clinics, growth systems for hotels, and growth systems for rehab centres.

Workflows we build

Four categories. Every one measured against hours saved.

01

Lead scoring and routing

Every inbound lead gets scored automatically against your ICP before a human looks at it. n8n sends the lead to Claude API with your ICP definition. Claude returns a score from 1 to 10 and a rationale. n8n routes hot leads to your CRM with instant notification, warm leads into nurture, and cold leads logged and deprioritized.

02

Content generation pipelines

You submit a brief. Claude generates a structured first draft including H1, meta, section headings, body copy, and an AEO-formatted FAQ section. The draft arrives in your Notion workspace within 90 seconds. Your team reviews, edits, and publishes. The blank page problem disappears.

03

GBP and analytics reporting

Every week n8n pulls data from GBP via Windsor.ai, Google Search Console, and optionally GA4. Claude compares week-over-week, identifies the three biggest changes, and writes a two-paragraph summary. The report arrives in your inbox before you sit down on Monday.

04

Workflow integration and connectivity

Your tools do not talk to each other. n8n has native integrations with 400+ tools. Form → CRM → sequence. CRM → invoice. Apollo export → Clay → Claude scoring → Notion database. Email → task assignment. WhatsApp → classification and routing. We connect whatever you already use.

The build

From opportunity map to live workflows in 30 days.

01Week 1

Automation audit

We map every recurring task, every tool, and every hand-off. Output: an Automation Opportunity Map ranking 8–15 workflows by time saved and build complexity.

02Week 1–2

Architecture and sign-off

We design workflow logic for each selected automation. You see the decision tree and data flow before we write a line of configuration. You approve. We build.

03Week 2–4

Build and test

Workflows built in n8n, API keys connected, tested across three to five scenarios against real data. Every workflow is documented before it goes live.

04Ongoing

Live and handoff

Workflows go live. Walkthrough call with your team. Written documentation for each workflow. Retainer clients get weekly monitoring and quarterly expansion.

Right fit

This is built for three types of teams.

01

Small teams of 3–5

You are hitting a ceiling on what the team can deliver. You do not want to hire. You want the team you have to operate as if it were twice the size.

02

Operations-heavy businesses

Your team spends more time moving data between tools than doing the actual work. You need the handoffs automated so people can focus on judgment, not data entry.

03

Founders drowning in reporting

You spend Monday morning rebuilding reports by hand. You need the report to arrive in your inbox before you open your laptop.

Common questions

What teams ask before starting.

Does our team need to be technical to use these automations?+

No. The workflows run in the background. Your team interacts with the outputs — the Notion database, the report in their inbox, the CRM record that is already complete. We design every workflow so the non-technical user only sees a clean interface.

What happens when a workflow breaks?+

n8n sends an error notification to a designated inbox when any workflow fails. We document a recovery process for each workflow during the build. For clients on a monthly retainer, we monitor and fix failures within one business day.

Do we own the workflows you build?+

Yes. All workflows are built on your n8n instance, connected to your API keys, and documented with your credentials. If you stop working with us, everything is yours — and you get the documentation to run it without us.

Can you integrate with tools we already use?+

n8n has native integrations with over 400 tools including HubSpot, Salesforce, Pipedrive, Notion, Airtable, Google Workspace, Slack, WhatsApp Business API, Apollo, Clay, and most major CRMs. If your tool has a REST API, we can connect to it.

How does this compare to Zapier or Make in cost?+

We use n8n because it can be self-hosted — no per-task pricing as volume grows. A workflow running 10,000 times per month costs significantly less on self-hosted n8n than on Zapier. For Indian clients, self-hosting also keeps data in-country.

We are a small team. Is this relevant for us?+

Especially for small teams. Automation is not about scale. It is about removing the ceiling on what a small team can accomplish. A 3-person team that saves 15 hours a week effectively operates as a 4–5 person team.

Paid growth diagnostic

Start with an automation audit. See what 15 hours back looks like.

Start with a paid, qualified diagnostic. We identify whether your highest-leverage fix is Google visibility, website conversion, booking flow, or lead follow-up — then scope the system your business keeps.
