A practical WhatsApp lead follow-up system acknowledges every new enquiry within five minutes, alerts the right person, records the lead in a CRM, and continues with a short helpful sequence if the prospect does not reply. The automation handles speed and consistency; a human handles qualification and the real conversation.

- Wait and branch: stop automation when the lead replies; otherwise send the next relevant follow-up.

The three-message sequence
Message 1: immediate acknowledgement
“Hi [name], thanks for your enquiry about [service]. We have received it. [Owner] will review the details and reply by [realistic time]. If useful, send your preferred appointment day here.”
Message 2: useful follow-up
If there is no reply, send one message that removes friction: clarify the next step, offer two scheduling windows, or answer the most common pre-booking question. Do not repeat “just following up” without adding value.
Message 3: respectful close
Close the loop without pressure: “I will pause messages after this. If you still want help with [service], reply here and we will pick it up.” The lead can return later without being chased indefinitely.
What to do when leads do not reply
Mark the reason when it is known, keep the record searchable, and stop the sequence after the planned final message. Review patterns weekly: source quality, first-response time, common questions, booking friction, and which step loses the most prospects. Improve the process before increasing message volume.
